2018 Hawaii International Film Festival Year-Round Staff Position

The Hawaii International Film Festival (HIFF) is looking for a skilled, enthusiastic and dedicated individual to assist with the year-round organization of the Hawaii International Film Festival. This position is year-round, salaried with benefits. Work hours are flexible and variable, with weekend and evening hours required leading up to and during the film festival.

POSITION

SPONSORSHIP & MARKETING MANAGER
TERM OF EMPLOYMENT: FULL-TIME, YEAR-ROUND

JOB DESCRIPTION: The Hawaii International Film Festival is currently seeking a Sponsorship and Marketing Manager. The Sponsorship and Marketing Manager will work closely with the Executive Director and HIFF staff to manage and develop all festival sponsorship, as well as both year-round and Festival specific marketing campaigns. This will include managing sponsor fulfillment, benefits, and activation. This position reports directly to the Executive Director, but will work collaboratively with all departments of the HIFF team. Some evening/weekend work may be required, as well as additional hours required during the film festival.

DUTIES & RESPONSIBILITIES:

   - Manage annual HIFF sponsors from prospecting through execution; including renewal of cash and in-kind sponsorships, creating contracts and proposals for new sponsors, relationship cultivation, and additional duties as needed
  -  Work with Executive Director to develop new sponsor streams and cash sponsor opportunities for both the Fall Festival and Spring Showcase each year
  -  Research new sponsors for the 2018 Festival and beyond
  - Manage the fulfillment of all sponsor benefits including tickets, badges, event invitations, and ad/logo promotion in HIFF materials
   - Ensure that all sponsor collateral (logos and ads, etc) are properly placed in all HIFF print, online, and in-theater materials
   - Act as primary sponsor contact before and during the festival for any additional sponsor fulfillment, benefits and needs
   - Work with Sponsors to activate all HIFF marketing across platforms including print, online, television, and radio media and other platforms
  -  Manage data collection and analytics as needed for sponsorship and grant reporting
  -  Grant writing and reporting as needed
  -  Manage the Festival’s marketing campaign for both annual Fall Festivals and Spring Showcase editions each year, including creating and managing marketing timeline, production of materials, and acting as primary liaison for marketing and design team.
  -  Manage Festival’s year-round branding and marketing, including off-season campaigns, and year-round materials with Executive Director
  -  Support, collaborate, and attend HIFF annual events, activities, screenings, etc.

2018 Hawaii International Film Festival Seasonal Staff Positions

The Hawaii International Film Festival (HIFF) is looking for  skilled, enthusiastic and dedicated individuals to assist with the planning and production of the 38th annual Hawaii International Film Festival, which will take place from November 8-18, 2018. Seasonal Staff are paid positions that include roles such as education coordinator, transportation coordinator, events coordinator, and social media coordinator. Scheduling and work hours will be flexible and variable, with required hours increasing leading up to and during the film festival.

POSITION: EDUCATION COORDINATOR
TERM OF EMPLOYMENT: Mid-July 2018 - December 2018

JOB DESCRIPTION: The Hawaii International Film Festival is currently seeking an Education Coordinator. The Education Coordinator will work closely with the Programming Coordinator and the Director of Programming to execute the 2018 Education Programs. This position reports directly to the Director of Programming, but will have the opportunity to work collaboratively with all departments of the HIFF team. Some evening/weekend work may be required, as well as additional hours required during the film festival.

DUTIES & RESPONSIBILITIES:

  • Manage the organization of the 2018 Education Programs including the: Guest Filmmaker Program (bringing filmmakers to schools on Oahu & Kauai), the Cultural & Visual Literacy Program (free screenings for K-12 students on Oahu & Big Island), and the Student Showcase (film showcase of short films from K-12 students across the state). All programs will take place during the 2018 Hawaii International Film Festival in November.
  • Work with Director of Programming and Programming Coordinator to secure participating filmmakers for the GFP and films for the CVLP, and manage promotion for these programs on website.
  • Conduct outreach to teachers across Oahu, Kauai, and Big Island to promote programs and encourage sign-ups.
  • Liaise with teachers, filmmakers, and participants to arrange visits and school screening attendance.
  • Attend all GFP visits with filmmakers (when possible), and provide transportation to schools for off-island guests.
  • Coordinate on-site school screenings with assistance from Programming Coordinator
  • Manage on-site Student Showcase and facilitate Q&A as needed
  • Travel to Neighbor Islands to facilitate implementation of Kauai/Big Island programs.
  • Create, distribute and collect Program Evaluation Forms from participants
  • Assist with other Education Programs as needed such as the DKII Student Film Initiative, and HIFF Seminars
  • Create and complete full Education Report by end of year and submit to Director of Programming

JOB DESCRIPTION: The Hawaii International Film Festival is currently seeking an Events Coordinator. The Events Coordinator will work closely with the Executive Director and the Director of Programming to execute all main Fall Festival events. This position reports directly to the Executive Director, but will have the opportunity to work collaboratively with all departments of the HIFF team. Some evening/weekend work may be required, as well as additional hours required during the film festival
.  

DUTIES & RESPONSIBILITIES:

  • Manage the organization of all Fall Festival events, including the Opening Reception, Meet the Filmmakers Reception, Awards Gala, and Closing Night Reception
  • Work with Executive Director to liaise with venues, develop catering menus, design event show flows, and manage any A/V needs
  • Design and manage event invitations, working with Executive Director and HIFF team to manage guest lists
  • Manage Event seating for Awards Gala
  • Recruit and manage volunteer staffing for Event Registration/Check-in and other on-site event needs

JOB DESCRIPTION: The Hawaii International Film Festival is currently seeking a Social Media Coordinator. The Social Media Coordinator will work closely with the Publicity and Programming Teams to execute the Fall Festival social media campaign beginning in August. This position reports directly to the Festival Publicists (After Bruce PR), but will have the opportunity to work collaboratively with all departments of the HIFF team. Some evening/weekend work may be required, as well as additional hours required during the film festival.

DUTIES & RESPONSIBILITIES:

  • Manage the implementation of Social Media Campaign strategy developed by Publicity & communications team
  • Manage all Social media platforms including Instagram, Facebook, and Twitter
  • Conduct widespread pre-festival promotion via social media including activating hashtags, running contests, and connecting with influencers across all platforms.
  • Manage all on-site event social media in real time during the Festival.
  • Create full post-festival social media report for HIFF team

POSITION: TRANSPORTATION COORDINATOR
TERM OF EMPLOYMENT: Mid-October - Mid-November 2018
TIME COMMITMENT: 20 - 30+ hours per week.  
PAY: Stipend (Part-time, increased hours during festival, exempt, temporary, no benefits)
JOB DESCRIPTION: The Transportation Coordinator will work with the Guest Services Director to manage the Ground Transportation for Festival filmmaker delegates, visiting festival representatives and other guests for the 38th annual Hawaii International Film Festival, November 8-18, 2018. The Transportation Coordinator will work with the Guest Services Team including the Guest Services Director, Hospitality Coordinator, Director of Programming, and the Executive Director to insure transportation needs for visiting delegates to and from the airport and between the Festival venues are met. The Transportation Coordinator will report to the Guest Services Director and Director of Programming, and will manage a team of 2-3 HIFF drivers.


DUTIES AND RESPONSIBILITIES:

  • Work with the Guest Services Director to arrange transportation from/to the airport via Speedy Shuttle or black car/Limo services for HIFF invited delegates
  • Work with the Guest Services Director and Programming team to arrange transportation via HIFF van/driver or black car service between theater venues and Waikiki hotels for screenings and events.
  • Work with the Guest Services Director and Programming team to arrange additional appropriate transportation for invited delegates as required.
  • Manage HIFF van/driver team, creating daily schedules for HIFF drivers and assigning appropriate pick-ups/drop-offs.
  • Assign HIFF volunteer greeters to meet delegates at airport when required, and/or conduct airport meet and greets if necessary.
  • Be available as an on-call driver to assist driver team if needed
  • Attend staff meetings as needed, and update Festival staff on transportation activities
  • Complete post-Festival activities: transportation evaluation and wrap-up report
  • Miscellaneous related duties and activities, to be determined in collaboration with the Guest Services Director.

DESIRED QUALIFICATIONS:

  • Possess a valid US driver’s license and automobile insurance
  • Experience working in a film festival or similar environment
  • Excellent written and verbal communication skills
  • Attention to detail; strong organizational skills
  • Ability to work independently and multi-task
  • Ability to troubleshoot and problem solve in a fast-paced environment
  • Proficiency with Macintosh-based programs: Microsoft Word and Excel, FilemakerPro, e-mail clients, and social networking

HIFF Internship Program


HIFF internships offer opportunities to gain a broad range of work experiences in film festivals. HIFF interns work closely with festival staff to plan, coordinate, and implement special events, educational programs, and film screenings. Those interested should have interest in the arts and/or film.

While internships are unpaid, festival staff will work with interns to gain school credit for work performed. Interns will also receive credit in the festival publication and can see films for free! HIFF requires a commitment of 15 to 40 hours per week and a set work schedule.

HIFF internships consist of project-oriented tasks such as event planning, sponsor relations, marketing & public relations, database management, outreach, clerical and archival work, and travel and hospitality.

Scheduling is flexible. The internship is best suited for a person willing to share and gain skills in the arenas of film programming, event planning, data management, and non-profit arts administration, with a sincere interest in Asian American and Asian media arts.

   - Assisting the Press and Public Relations teams.

   - Maintaining press releases and publicity files related to the festival, films and events.

   - Assist with tracking and completing assignments and deadlines.


EDUCATION DEPARTMENT
POSITION: Education Assistant
TERM OF EMPLOYMENT: October 2018 – November 2018
TIME COMMITMENT: 10 to 15 hours per week. Additional hours during Festival dates.
PROJECTS:
   - Assisting the Associate Director of Programming and Programming Coordinator
   - Assist with gathering materials and data for HIFF Education website pages
   - Outreach to teachers on Oahu & Big Island to recruit classes for participation
   - Assist with organizing Guest Filmmaker Program classroom visits
   - Attend Guest Filmmaker Program classroom visits across the island of Oahu during the film festival, liaising with teachers and filmmakers.
   - Assist on-site with Cultural & Visual Literacy Program student screenings at Regal Dole Cannery theaters during the film festival.
   - Assist with set-up and implementation of select Creative Lab seminars, liaising with venue staff, and filmmakers.


TRAVEL & HOSPITALITY DEPARTMENT
POSITION: Travel and Hospitality Assistant
TERM OF EMPLOYMENT: October 2018 – November 2018
TIME COMMITMENT: 10 to 15 hours per week. Additional hours during Festival dates.
PROJECTS:
   - Assist with booking air, accommodations and land transportation
   - Maintains records of guest’s bookings and requests.
   - Assists with promoting and coordinating activities and tours
   - Coordinates guest’s transportation needs to events and functions
   - Generates correspondence with guests


THEATER OPERATIONS
POSITION: Volunteer Captains
TERM OF EMPLOYMENT:  November 2018
TIME COMMITMENT: 10 to 15 hours per week, with at least a 25 hour commitment during the festival.
PROJECTS:
   - Assisting the House Manager in training and assigning duties to festival volunteers.
   - Oversee volunteers assigned to line management duties.
   - Oversee volunteers assigned to theater entrance management.
   - Oversee volunteers assigned to inside theater management.
   - Oversee volunteers assigned to balloting duties.
