2014 Hawaii International Film Festival Seasonal Staff Positions

DESCRIPTION
The Hawaii International Film Festival (HIFF) is looking for  skilled, enthusiastic and dedicated individuals to assist with the planning and production of the 34th annual HIFF and Creative Lab, which will take place in from October 30 – November 9. Seasonal Staff are paid positions that include roles such as programming & outreach assistant, publicity coordinator, guest services coordinator, and neighbor island coordinator. Scheduling and work hours will be flexible and variable, with required hours increasing leading up to and during the film festival.

HOW TO APPLY

POSITIONS
POSITION: PROGRAMMING & OUTREACH ASSISTANT

TERM OF EMPLOYMENT: September 2014 – November 15 2014

TIME COMMITMENT: 15-20 hours per week.

PAY: $1500.00 stipend (Part-time, increased hours during festival, exempt, temporary, no benefits)

JOB DESCRIPTION: The Hawaii International Film Festival is currently seeking several Programming & Outreach Assistants. The Programming & Outreach Assistants will work closely with the Programming team to support the creation of the online film program and the program guide, as well as conduct targeted community outreach, assist with marketing materials distribution, and work on-site during the Festival to support theater operations. This position reports to the Programming Coordinator and Associate Director of Programming, but will have the opportunity to work collaboratively with all departments of the HIFF

team. Some evening/weekend work may be required, as well as additional hours required during the film festival.

DUTIES & RESPONSIBILITIES:

  • Collecting and managing festival database film data and information.
  • Managing the collection of film materials and collateral for publications.
  • Researching community organizations and groups for festival outreach.
  • Conducting targeted outreach to local organizations and groups.
  • Assisting with the organization and distribution of Program Guide and promotional materials on the island of Oahu.
  • Working with the Operations Manager as a Theater Operations Captain during the Film Festival, managing house seating and liaising with technical team.
  • Assisting HIFF programming staff on-site during the Festival with film introductions, filmmaker Q&A’s and HIFF seminars.

DESIRED QUALIFICATIONS:

  • Excellent interpersonal, verbal and written communications skills
  • Detail-oriented, organized and motivated.
  • Fluency in Mac-based applications including MS Office, Excel, and Powerpoint
  • Experience working with computer database systems
  • Knowledge of international cinema, Hawaiian, Asian Pacific American communities, issues, and organizations preferred.

POSITION: NEIGHBOR ISLAND COORDINATOR

TERM OF EMPLOYMENT: Sept 2014 – November 2014

TIME COMMITMENT: 20 – 40 hours per week.

PAY: $3000.00 stipend (Part-time, Full-time during Neighbor Island showcases, exempt, temporary, no benefits)

JOB DESCRIPTION: The Hawaii International Film Festival is currently seeking a Neighbor Island Coordinator. The Neighbor Island Coordinator will work closely with the HIFF team to organize HIFF’s neighbor island film showcases on the island of Kauai and in Hilo, Hawaii. This position reports to the Executive Director, but the coordinator will work collaboratively with the Programming team and the Hospitality Coordinator. Some evening/weekend work may be required, as well as travel to Hilo and Kauai during the neighbor island festivals.

DUTIES & RESPONSIBILITIES:

  • Liaisoning between the main HIFF Office and festival teams in Kauai and Hawaii to ensure that roles and responsibilities among neighbor island team members are assigned and understood.
  • Notifying the main HIFF Office of any logistical or staffing challenges that occur.
  • Ensuring that marketing materials are delivered and distributed in a timely manner.
  • Ensuring that venues have necessary materials, equipment, and staff to make certain festival patrons experience a professional and pleasant viewing experience.
  • Working with the neighbor island team to ensure that visiting guest filmmakers have travel itineraries and on hand assistance during their visit.

POSITION: PUBLICITY COORDINATOR

TERM OF EMPLOYMENT: Sept 2014 – November 2014

TIME COMMITMENT: 30 – 40 hours per week.

PAY: $5000.00 stipend (Part-time, Full-time leading up to and during festival, exempt, temporary, no benefits)

JOB DESCRIPTION:

The Publicity Coordinator will be in charge of all day-to-day administrative publicity activities for the 34th Hawaii International Film Festival taking place October 30 – November 9, 2014. Reporting to the executive director, the coordinator will liaise with HIFF’s senior staff and the festival’s external public relations agency to ensure consistent and on target messaging. Primary duties include managing press materials such as video screeners, press kits, still images and press clippings, as well as providing the press with all necessary materials. In addition, the coordinator will help build HIFF’s relationship with print, TV and online outlets that cover entertainment, ethnic communities and the arts. The coordinator will also be in charge of all digital and social media communications for the Festival (Enews, Facebook, Twitter, Instagram, etc).

DUTIES & RESPONSIBILITIES

  • Coordinate all areas of public relations including press conferences, interviews for appropriate spokespeople and liaising with external and internal constituencies
  • Produce, label and manage a screeners library for the press
  • Assemble press kits for each film
  • Collect and caption still photos and/or image files for each film
  • Write press releases and listings as needed
  • Manage all press check-ins, inquiries and complimentary ticket distribution
  • Introduce films as needed at press screenings
  • Submit periodic press reports to PR agency
  • Create clippings binder
  • Assign responsibilities to interns as needed

POSITION: GUEST SERVICES COORDINATOR

TERM OF EMPLOYMENT: Sept 2014 – November 2014

JOB DESCRIPTION:

The Festival Guest Services Coordinator will work with the Executive Director and Director of Programming to manage the participation of Festival artists, visiting festival representatives and other guests for the 34th annual Hawaii International Film Festival, October 30 through November 9, 2014. The Guest Services Coordinator will interface with Festival artists and guests to coordinate guest travel and accommodation, as well as insure proper and accurate accreditation for the 2014 Hawaii International Film Festival. The Guest Services Coordinator will work with the Director of Sponsorship & Events, Programming Coordinator, Publicity Coordinator and Festival Manager to further insure promotional and access opportunities for visiting artists. The Guest Services Coordinator will report to the Executive Director and Director of Programming.

DUTIES AND RESPONSIBILITIES:

  • Work with the Executive Director and Director of Programming to update, prepare and distribute Festival guest accreditation materials.
  • Work with the Executive Director and Director of Programming to establish guest guidelines and policies, to be included with accreditation materials.
  • Work with the Director of Programming and Director of Sponsorship & Events to identify visiting Festival artists whose expenses will be covered by the Festival; and in concert with Executive Director, coordinate travel and accommodation for guests.
  • Identify out-of-town guests paying their own way, and determine specific needs (housing, translation services, etc.) to be addressed.
  • Maintain an accurate and timely accounting of confirmed guests, and notify them in a timely manner of Festival special events and activities for accredited guests
  • Work with the Director of Sponsorship & Events and volunteers to prepare Artists and Guests Festival information packets and gifts for distribution during Festival Week
  • Work with the Director of Sponsorship & Events and Executive Director to establish an artists/guest gathering place, ie: Hospitality Suite and festival lounge.
  • Attend staff meetings as needed, and update Festival staff on guest services activities
  • Other related duties and activities, to be determined in collaboration with the Festival Executive Director and Director of Programming.

QUALIFICATIONS:

  • Possess a valid US driver’s license and automobile insurance
  • Excellent written and verbal communication skills
  • Attention to detail; strong organizational skills
  • Ability to work independently and multi-task
  • Proficiency with Macintosh-based programs: Microsoft Word and Excel, FilemakerPro, e-mail clients, and social networking
  • Complete post-Festival activities: evaluation, manual, and guest appreciation letters
  • Ability to work with (and learn from) diverse ethnic communities and individual personalities

HIFF Internship Program

HIFF internships offer opportunities to gain a broad range of work experiences in film festivals. HIFF interns work closely with festival staff to plan, coordinate, and implement special events, educational programs, and film screenings. Those interested should have interest in the arts and/or film.

While internships are unpaid, festival staff will work with interns to gain school credit for work performed. Interns will also receive credit in the festival publication and can see films for free! HIFF requires a commitment of 15 to 40 hours per week and a set work schedule. Access to a car is preferred.

HIFF internships consist of project-oriented tasks such as event planning, sponsor relations, marketing & public relations, database management, outreach, clerical and archival work, and travel and hospitality.

Scheduling is flexible. The internship is best suited for a person willing to share and gain skills in the arenas of film programming, event planning, data management, and non-profit arts administration, with a sincere interest in Asian American and Asian media arts.

These are part-time and unpaid positions, and interns are responsible for finding their own room and board, if you are not a resident of Hawaii.

  • Assisting the Director of Sponsorship and Events.
  • Maintaining events information in the festival database.
  • Assist with outreach of public events.

POSITION: Public Relations (PR) Intern

TERM OF EMPLOYMENT: August 2014 – November 2014

TIME COMMITMENT: 10 to 15 hours per week.

PROJECTS:

  • Assisting the Director of Press and Public Relations.
  • Manage press accreditations.
  • Maintaining press releases and publicity files related to the festival, films and events.
  • Maintaining media library on the HIFF website.
  • Assist in preparing, composing, and distributing press releases and press kits.
  • Generating correspondences with media.
  • Assist with tracking and completing assignments and deadlines.

EDUCATION DEPARTMENT

POSITION: Education Assistant

TERM OF EMPLOYMENT: August 2014 – November 2014

TIME COMMITMENT: 10 to 15 hours per week.

PROJECTS:

  • Assisting the Associate Director of Programming and Programming Coordinator
  • Assist with gathering materials and data for HIFF Education website pages
  • Outreach to teachers on Oahu & Kauai to recruit classes for participation
  • Assist with organizing Guest Filmmaker Program classroom visits
  • Attend Guest Filmmaker Program classroom visits across the island of Oahu during the film festival, liaising with teachers and filmmakers.
  • Assist on-site with Cultural & Visual Literacy Program student screenings at Regal Dole Cannery theaters during the film festival.
  • Assist with set-up and implementation of select Creative Lab seminars, liaising with venue staff, and filmmakers.

TRAVEL & HOSPITALITY DEPARTMENT

POSITION: Travel and Hospitality Assistant

TERM OF EMPLOYMENT: August 2014 – November 2014

TIME COMMITMENT: 10 to 15 hours per week.

PROJECTS:

  • Assist with booking air, accommodations and land transportation
  • Maintains records of guest’s bookings and requests.
  • Assists with promoting and coordinating activities and tours
  • Coordinates guest’s transportation needs to events and functions

THEATER OPERATIONS

POSITION: Volunteer Captains

TERM OF EMPLOYMENT: October 2014 – November 2014

TIME COMMITMENT: 10 to 15 hours per week, with at least a 25 hour commitment during the festival.

  • Assisting the House Manager in training and assigning duties to festival volunteers.
