2017 Hawaii International Film Festival Seasonal Staff Positions

The Hawaii International Film Festival (HIFF) is looking for  skilled, enthusiastic and dedicated individuals to assist with the planning and production of the 37th annual Hawaii International Film Festival, which will take place from November 2 – 12, 2017. Seasonal Staff are paid positions that include roles such as volunteer coordinator, programming & outreach assistant, sponsorship coordinator, events coordinator, and social media coordinator. Scheduling and work hours will be flexible and variable, with required hours increasing leading up to and during the film festival.

HOW TO APPLY

DESIRED QUALIFICATIONS FOR ALL SEASONAL STAFF POSITIONS

POSITION: VOLUNTEER COORDINATOR

TERM OF EMPLOYMENT: OCTOBER 1ST 2017 – MID-NOVEMBER 2017

TIME COMMITMENT: 10-15 hrs per week in October | full-time hrs NOV 2-12

PAY: Stipend (Part-time, increased hours during festival, exempt, temporary, no benefits)

JOB DESCRIPTION: The Hawaii International Film Festival is currently seeking a Volunteer Coordinator. The Volunteer Coordinator will work closely with the Operations Director and the Programming team to schedule and manage the volunteer teams, and volunteer captains during the Fall Festival. This position reports directly to the Operations Director, but will have the opportunity to work collaboratively with all departments of the HIFF team. Evening/weekend work is required during the film festival.  

DUTIES & RESPONSIBILITIES:

To lead, manage and recruit all volunteers for the HIFF Fall Festival: 

  • Organize and execute Volunteer Training and Information Meetings; Interview and assign volunteers based on abilities and availability; Create and maintain the master volunteer schedule
  • Handle scheduling, schedule adjustments and coordination of volunteers
  • Maintain constant communication with Operations Director; Maintain volunteer database and track volunteer hours/benefits
  • Manage Volunteer desk at Festival headquarters assigning tasks to volunteers and troubleshooting volunteer needs
  • Serve as liaison with Operations Director and remote Venue Managers to ensure that volunteer assistance at all venues is functioning appropriately
  • Work with various Festival departments to determine volunteer needs and supply the appropriate number of volunteers for specific tasks and fill slots as needed
  • Plan and coordinate Volunteer Wrap party; Draft thank you letter to volunteers
  • Provide post-Festival report to staff.

DESIRED QUALIFICATIONS:

  • Excellent interpersonal, verbal and written communications skills
  • Ability to work in a high pressure environment
  • Pro-active, with the ability to problem solve in complex situations
  • Detail-oriented, organized and motivated.
  • Experience managing large teams of people/volunteers preferred
  • Experience working with computer database/scheduling systems
  • Experience working with a film festival, or similar type of major event preferred
  • must have own computer, preferably a mac, equipped with Microsoft Office.

 

HIFF Internship Program

HIFF internships offer opportunities to gain a broad range of work experiences in film festivals. HIFF interns work closely with festival staff to plan, coordinate, and implement special events, educational programs, and film screenings. Those interested should have interest in the arts and/or film.

While internships are unpaid, festival staff will work with interns to gain school credit for work performed. Interns will also receive credit in the festival publication and can see films for free! HIFF requires a commitment of 15 to 40 hours per week and a set work schedule.

HIFF internships consist of project-oriented tasks such as event planning, sponsor relations, marketing & public relations, database management, outreach, clerical and archival work, and travel and hospitality.

Scheduling is flexible. The internship is best suited for a person willing to share and gain skills in the arenas of film programming, event planning, data management, and non-profit arts administration, with a sincere interest in Asian American and Asian media arts.

  • Maintaining archives and festival database.
  • Assisting screening committee and programming team.
  • Focused film research to develop articles and blogs for HIFF website.
  • Marketing and outreach of festival program to local communities.
  • Assisting with the coordination  of seminars.
  • Assisting with the coordination of educational programs.

DEVELOPMENT DEPARTMENT

POSITION: Development/Sponsorship Assistant

TERM OF EMPLOYMENT: August 2017 – November 2017

TIME COMMITMENT: 10 to 15 hours per week. Additional hours during Festival dates.

PROJECTS:

  • Assisting the Director of Sponsorship and Events.
  • Maintaining sponsor information in the festival database.
  • Assist in collecting sponsor marketing materials for festival program.
  • Assist in benefits fulfillment.
  • Collecting and managing surveys during the festival.

SPECIAL EVENTS DEPARTMENT

POSITION: Special Events Assistant

TERM OF EMPLOYMENT: October 2017 – November 2017

TIME COMMITMENT: 10 to 15 hours per week. Additional hours during Festival dates.

PROJECTS:

  • Assisting the Director of Sponsorship and Events.
  • Maintaining events information in the festival database.
  • Assist with outreach of public events.
  • Assist in giving directions and managing volunteers during events.
  • Assist in the set-up and breakdown of events.
  • Assist in the maintenance of  guest lists.
  • Assist managing of special materials.
  • Assist with the liaising of events’ sponsors and contractors.

COMMUNICATIONS/PUBLIC RELATIONS DEPARTMENT

POSITION: Public Relations (PR) Intern

TERM OF EMPLOYMENT: October 2017 – November 2017

TIME COMMITMENT: 10 to 15 hours per week. Additional hours during Festival dates.

PROJECTS:

  • Assisting the Press and Public Relations teams.
  • Manage press accreditations.
  • Maintaining press releases and publicity files related to the festival, films and events.
  • Maintaining media library on the HIFF website.
  • Assist in preparing, composing, and distributing press releases and press kits.
  • Generating correspondences with media.
  • Assist with tracking and completing assignments and deadlines.

EDUCATION DEPARTMENT

POSITION: Education Assistant

TERM OF EMPLOYMENT: October 2017 – November 2017

TIME COMMITMENT: 10 to 15 hours per week. Additional hours during Festival dates.

PROJECTS:

  • Assisting the Associate Director of Programming and Programming Coordinator
  • Assist with gathering materials and data for HIFF Education website pages
  • Outreach to teachers on Oahu & Big Island to recruit classes for participation
  • Assist with organizing Guest Filmmaker Program classroom visits
  • Attend Guest Filmmaker Program classroom visits across the island of Oahu during the film festival, liaising with teachers and filmmakers.
  • Assist on-site with Cultural & Visual Literacy Program student screenings at Regal Dole Cannery theaters during the film festival.
  • Assist with set-up and implementation of select Creative Lab seminars, liaising with venue staff, and filmmakers.

TRAVEL & HOSPITALITY DEPARTMENT

POSITION: Travel and Hospitality Assistant

TERM OF EMPLOYMENT: October 2017 – November 2017

TIME COMMITMENT: 10 to 15 hours per week. Additional hours during Festival dates.

PROJECTS:

  • Assist with booking air, accommodations and land transportation
  • Maintains records of guest’s bookings and requests.
  • Assists with promoting and coordinating activities and tours
  • Coordinates guest’s transportation needs to events and functions
  • Generates correspondence with guests

THEATER OPERATIONS

POSITION: Volunteer Captains

TERM OF EMPLOYMENT:  November 2017

TIME COMMITMENT: 10 to 15 hours per week, with at least a 25 hour commitment during the festival.

PROJECTS:

  • Assisting the House Manager in training and assigning duties to festival volunteers.
  • Oversee volunteers assigned to line management duties.
  • Oversee volunteers assigned to theater entrance management.
  • Oversee volunteers assigned to inside theater management.
  • Oversee volunteers assigned to balloting duties.
